🕒 SOP: Managing Staff Tardiness

Purpose:
To establish a fair, consistent process for addressing staff tardiness that maintains accountability, ensures classroom coverage, and supports a positive workplace culture.


 

🎯 Policy Statement

All staff are expected to arrive on time and be prepared to begin their assigned shift. Punctuality is essential for maintaining required ratios, ensuring child safety, and supporting a collaborative team environment.


 

📌 Definitions

  • Tardiness: Arriving more than 5 minutes late to a scheduled shift without prior notice or approval.

  • Chronic Tardiness: More than 3 unexcused late arrivals within a 30-day period.


 

✅ Director Responsibilities

Task

Description

Monitor Arrival Times

Check time logs or sign-ins daily to identify late arrivals.

Document Tardiness

Record each instance using the Staff Attendance Log and note any patterns.

Communicate Expectations

Review attendance policies during onboarding and reinforce during team meetings.

Respond Promptly

Address tardiness within 24 hours to avoid escalation.


 

🧾 Tardiness Response Procedure

  1. First Occurrence

    • Private verbal reminder

    • Reiterate importance of punctuality

    • Document informally

  2. Second Occurrence

    • Verbal warning + documentation

    • Offer support: transportation issues, scheduling, etc.

    • Review attendance policy

  3. Third Occurrence (within 30 days)

    • Written warning

    • Action plan required (adjust schedule, time management help)

    • Staff acknowledgment signature

  4. Fourth Occurrence or Pattern Continues

    • Final warning or performance improvement plan (PIP)

    • Possible suspension or shift reassignment

  5. Continued Non-Compliance

    • Termination due to failure to meet job expectations
