Pre-Arrival Preparation: Setting the Foundation for Success

This phase focuses on preparing for the new hire’s arrival to ensure they feel welcomed, valued, and fully equipped to begin their journey with the company. Thoughtful preparation reduces first-day anxiety, reinforces professionalism, and sets clear expectations from the start.

Craft a Personalized Welcome

A warm, personalized welcome sets the tone for the employee’s experience. Each new hire should receive a welcome package that reflects our commitment to their success and integration into the team.

Provide a Welcome Package

The welcome package includes essential documents such as an introductory letter from the Director. This letter introduces the company’s mission, culture, and values while outlining expectations and reinforcing our commitment to quality, professionalism, and teamwork.

Provide First-Day Details

Clear first-day instructions must be shared in advance, including:

  • Where to report

  • Arrival time

  • Who to contact upon arrival

Providing this information eliminates confusion and ensures a smooth, confident start.

Provide Required Paperwork and Forms

All required paperwork and forms should be included in the welcome package and completed prior to the first day when possible. This streamlines administrative processes and allows the new hire to focus on orientation, training, and relationship-building on day one.

Orientation

Before the new hire’s first day, ensure the following items are prepared:

  • Necessary stationery, materials, and assigned equipment

  • Introductory guide to the school, company, and team

  • Announcement of the new employee’s arrival to the team (including a welcome sign at the front of the school)

  • Scheduled introductory meetings with relevant team members

  • Email and communication tool setup (if applicable)

  • Access to required software and platforms, including Procare

  • Security cards, access codes, and keys for building entry

  • QuickBooks time-tracking setup

  • A New Hire FAQ document addressing common questions to support a smoother transition

First Day Orientation

On the first day, the Director or assigned leader will:

  • Conduct a comprehensive tour of the school, highlighting key areas such as entrances, classrooms, restrooms, kitchen, emergency exits, and common spaces

  • Facilitate introductions with colleagues and department members to begin building strong working relationships

  • Introduce the new hire to their onboarding buddy, who will support them in navigating daily routines and school culture

  • Provide essential documentation outlining workplace guidelines, policies, and expectations
