Purpose
To establish a clear and consistent process for dismissing a child from the program when necessary due to safety, behavioral, or compliance-related concerns, while ensuring fairness, transparency, and documentation.
Scope
This procedure applies to all children enrolled in the center, their families, and the administrative team responsible for enforcing enrollment policies.
Policy Statement
While our program is committed to inclusive practices and supporting all children, there may be circumstances that require the dismissal of a child to maintain the safety and well-being of all participants. Dismissals are considered a last resort after all reasonable interventions and supports have been exhausted.
Grounds for Dismissal

Safety Concerns:

Repeated aggressive behavior that poses a risk to other children or staff (e.g., biting, hitting, severe tantrums).

Behavior that cannot be safely managed within the programās staffing and resources.

Non-Compliance with Policies:

Continued violation of center policies by parents/guardians (e.g., late pick-ups, unauthorized individuals picking up, disrespectful behavior toward staff).

Refusal to follow program procedures despite repeated warnings.

Unresolved Tuition Issues:

Chronic late payments or failure to pay tuition, even after written notices and attempts to establish a payment plan.

Lack of Engagement:

Persistent absenteeism or failure to participate in required meetings, conferences, or assessments.

Procedure for Dismissal

Documentation:

Record all incidents, parent communications, interventions, and support strategies attempted.

Maintain incident reports and any behavioral intervention plans in the childās file.

Family Communication:

Schedule a formal meeting with the family to discuss concerns and review the documentation.

Provide written communication summarizing the concerns, steps taken, and expectations for improvement.

Final Notice:

If concerns persist, issue a formal Notice of Dismissal letter outlining the reason for dismissal, the date of termination, and any final responsibilities (e.g., return of belongings, outstanding tuition).

When possible, provide referrals or support for finding alternative care.

Ensure a respectful, empathetic, and confidential process.

Appeals Process
Families may request a review of the dismissal decision by submitting a written appeal to the Executive Director within five business days of receiving the Notice of Dismissal. A final decision will be issued within ten business days.
