Purpose

To ensure all parent concerns regarding teachers are handled professionally, consistently, and promptly, while protecting relationships, maintaining confidentiality, and supporting staff accountability.

Scope

This SOP applies to:

  • Front Desk / Administrative Staff

  • Directors / Assistant Directors

  • Teaching Staff (as applicable)


Step 1: Parent Raises a Concern

Trigger:
A parent approaches the front desk, calls, emails, or requests a parent-teacher conference related to a teacher concern.

Front Desk Staff Responsibilities

  • Remain calm, professional, and neutral

  • Listen without interrupting or defending the teacher

  • Avoid promises, blame, or immediate conclusions

Approved Language Example:

“Thank you for sharing this with me. I want to make sure this is handled appropriately. I’m going to document your concern and share it with the Director, who will follow up with you.”


Step 2: Record the Incident (Immediate Documentation)

Timing Requirement:
The concern must be documented the same day, preferably within 30 minutes of the interaction.

Required Documentation

Front desk staff must record:

  • Date and time of concern

  • Parent name

  • Child name and classroom

  • Teacher name

  • Summary of concern (facts only, no opinions)

  • How the concern was received (in person, phone, email)

  • Parent’s requested next step (if stated)

📌 Important Rules

  • Do not edit, reword, or soften the parent’s concern

  • Do not share documentation with teaching staff

  • Maintain confidentiality at all times


Step 3: Escalate to Director

  • The completed incident report is forwarded to the Director the same day

  • If the concern involves child safety, supervision, or licensing, escalate immediately

Front desk staff must not:

  • Investigate the issue

  • Contact the teacher

  • Schedule a parent-teacher conference independently


Step 4: Director Review & Parent Contact

Director Responsibilities

Within 24 business hours, the Director must:

  1. Review the incident report

  2. Contact the parent directly

  3. Acknowledge the concern

  4. Gather additional information

Director Script Example:

“Thank you for bringing this to our attention. I’d like to better understand what happened so we can address it appropriately.”

📌 The Director listens first—no conclusions, no defense.


Step 5: Director Meets with Teacher (Internal Review)

Before any parent-teacher conference is scheduled, the Director must:

  • Meet privately with the teacher

  • Share the concern factually

  • Allow the teacher to respond

  • Review classroom expectations, policies, or prior documentation

  • Determine if coaching, retraining, or corrective action is needed

📌 This step ensures the Director has full context before bringing parties together.


Step 6: Determine Next Steps

Based on the review, the Director determines one or more of the following:

  • Coaching or retraining for the teacher

  • Classroom support or observation

  • Policy clarification

  • Schedule or classroom adjustments

  • Parent-teacher conference


Step 7: Parent-Teacher Conference (If Appropriate)

If a conference is warranted:

  • The Director schedules and facilitates the meeting

  • The meeting remains solution-focused and professional

  • The Director leads the conversation and sets expectations

Conference Goals

  • Clarify misunderstandings

  • Align on expectations

  • Establish a plan moving forward

  • Maintain trust with the family


Step 8: Documentation & Follow-Up

After resolution:

  • Director documents outcomes and action steps

  • Notes are added to:

    • Teacher file (if applicable)

    • Child/family record (if applicable)
