1. Purpose

This SOP provides a consistent daily operating system for Young Innovators Academy Winter Garden. The goal is to ensure that every day runs with safety, quality, strong communication, proper staffing, curriculum implementation, and a warm experience for children, families, and staff.

This document is designed to support directors, assistant directors, administrators, teachers, floaters, and support staff.


2. Core Daily Goals

Every day at Young Innovators Academy Winter Garden should reflect:

Safety first
Children must be supervised at all times and ratios must be maintained throughout the day.

Consistency
The same procedures should be followed every day so staff, children, and families know what to expect.

High-quality classrooms
Classrooms should be clean, organized, engaging, and ready for learning.

Strong curriculum implementation
Weekly projects, classroom boards, hallway displays, and learning objectives should be visible and active.

Professional communication
Parents and staff should receive clear, respectful, and timely communication.

Leadership presence
The director or leadership team should be visible, involved, and aware of what is happening across the school.


3. Daily Operational Flow

The daily flow is divided into four major parts:

  1. Morning Opening: 7:00 AM – 9:00 AM
  2. Classroom Stabilization: 9:00 AM – 12:00 PM
  3. Afternoon Transitions: 2:00 PM – 5:00 PM
  4. Closing & Cleaning: 5:00 PM – 6:30 PM

4. Morning Opening Procedures

Timeframe: 7:00 AM – 9:00 AM

4.1 Opening Rooms

The following classrooms serve as the primary opening rooms:

  • Infant Room
  • Toddler Room
  • 3’s Classroom
  • VPK Classroom
  • Reception / Front Desk Area

4.2 Director Responsibilities

The director or assigned opening administrator must:

  • Arrive on time and be ready before children begin arriving.
  • Confirm that all opening staff are present.
  • Verify classroom ratios immediately.
  • Walk the school within the first 30 minutes.
  • Check that classrooms are clean, safe, and prepared.
  • Support any staffing gaps.
  • Greet families and children warmly.
  • Review daily attendance expectations.
  • Confirm any absences or schedule changes.
  • Check Procare / attendance system for sign-ins.
  • Communicate any urgent updates to staff.

4.3 Teacher Responsibilities

Opening teachers must:

  • Arrive on time and clock in properly.
  • Prepare the classroom before children arrive.
  • Complete a safety check of the room.
  • Set up learning centers.
  • Prepare morning activities.
  • Greet every child and family warmly.
  • Monitor children at all times.
  • Maintain proper ratios.
  • Record attendance accurately.
  • Communicate concerns to leadership immediately.

4.4 Morning Classroom Expectations

By 8:30 AM, each opening classroom should have:

  • Age-appropriate activities available.
  • Clean tables and floors.
  • Diapering or toileting supplies ready.
  • Attendance updated.
  • Children actively engaged.
  • No clutter or unsafe materials accessible to children.

5. Transition to Full Classrooms

Timeframe: 8:30 AM – 9:30 AM

5.1 Purpose

The purpose of the morning transition is to move children from opening rooms into their assigned classrooms safely and efficiently as additional staff arrive.

5.2 Administrator Responsibilities

Leadership must:

  • Monitor staff arrival times.
  • Confirm each classroom has the required number of teachers.
  • Verify child counts before and after transitions.
  • Make sure children are moved with supervision.
  • Ensure no classroom exceeds ratio.
  • Support rooms that need help during transition.
  • Communicate classroom assignments clearly.

5.3 Teacher Responsibilities

Teachers must:

  • Receive children from opening rooms.
  • Verify attendance and name-to-face checks.
  • Welcome children into the classroom routine.
  • Begin morning curriculum activities.
  • Report any missing items, parent notes, or concerns to leadership.

5.4 Transition Procedure

  1. Administrator confirms classroom staffing.
  2. Teacher receives assigned children.
  3. Child count is completed before leaving the opening room.
  4. Child count is completed again upon arrival in the classroom.
  5. Attendance is updated in the system.
  6. Teacher begins the classroom schedule.

6. Ratio and Supervision Procedure

6.1 Purpose

Maintaining ratio is one of the most important responsibilities of the school. Children must be supervised at all times.

6.2 Ratio Expectations

Staff must:

  • Know the required ratio for their age group.
  • Never leave children unattended.
  • Call for help before stepping out of the classroom.
  • Count children frequently.
  • Complete name-to-face checks during transitions.
  • Inform leadership immediately if they are close to ratio.

6.3 Director Ratio Checks

The director or assigned administrator must complete ratio checks:

6.4 If a Classroom Is Out of Ratio

If a classroom is out of ratio:

  1. Teacher must notify the director immediately.
  2. Director must send support staff or move children appropriately.
  3. No teacher may leave the room until ratio is corrected.
  4. Leadership must document the issue if needed.

7. Classroom Stabilization

Timeframe: 9:00 AM – 12:00 PM

7.1 Purpose

This is the most important instructional part of the day. Children should be engaged in curriculum, centers, group activities, outdoor play, and teacher-led learning.

7.2 Director Responsibilities

The director must:

  • Walk all classrooms.
  • Observe teacher engagement.
  • Confirm curriculum is being implemented.
  • Ensure lesson plans are being followed.
  • Check classroom cleanliness.
  • Review child engagement.
  • Support teachers with materials or guidance.
  • Identify coaching opportunities.
  • Make sure hallway displays and boards are updated.

7.3 Teacher Responsibilities

Teachers must:

  • Follow the daily schedule.
  • Implement the weekly curriculum.
  • Use age-appropriate activities.
  • Keep children engaged.
  • Rotate learning centers.
  • Document learning through photos, notes, or displays.
  • Maintain classroom order.
  • Support social-emotional development.

7.4 Curriculum Expectations

Each classroom should have:

  • Weekly theme visible.
  • Learning objective posted or available.

8. Curriculum Implementation SOP

Every week, administrators must review the curriculum focus with teachers. This includes:

9. Lunch and Nap Procedures

9.1 Lunch Preparation

Teachers must:

  • Wash children’s hands before meals.
  • Sanitize tables before and after eating.
  • Check food items for allergies.
  • Supervise children while eating.
  • Sit with children when possible.
  • Encourage independence and manners.
  • Document meals if required.

9.2 Allergy Safety

Staff must:

9.3 Nap Preparation

Teachers must:

10. Afternoon Transitions

Afternoon transitions include waking from nap, snack, outdoor play, enrichment activities, classroom combinations, and parent pick-up preparation.

10.2 Director Responsibilities

Leadership must:

  • Monitor staffing as employees leave for the day.
  • Verify ratios before combining classrooms.
  • Support rooms during wake-up and snack.
  • Check that children are clean and ready for pick-up.
  • Ensure parent communication is completed.
  • Manage any behavior or incident reports.
  • Prepare the school for dismissal.

10.3 Teacher Responsibilities

Teachers must:

  • Wake children gently.
  • Assist with toileting and diapering.
  • Serve snack safely.
  • Keep children engaged.
  • Prepare belongings for pick-up.
  • Update parent communication.
  • Clean classroom areas as the day progresses.
  • Maintain supervision during pick-up.

10.4 Combining Classrooms

Classrooms may only be combined when:

  • Ratios allow it.
  • Children are grouped appropriately by age.
  • Attendance is updated.
  • Teachers know exactly which children are in their care.
  • The room is safe and prepared.

11. Parent Communication Procedure

11.1 Daily Communication

Teachers should communicate with families through approved school systems or in person as appropriate. Communication may include:

  • Meals
  • Naps
  • Diapers / toileting
  • Activities
  • Photos
  • Supplies needed
  • Behavior notes
  • Positive moments

11.2 Professional Communication Standards

All communication must be:

  • Respectful

If a parent has a concern:

12. Incident and Accident Procedure

12.1 When an Incident Occurs

Teachers must:

  • Attend to the child immediately.
  • Notify leadership.
  • Provide first aid if appropriate.
  • Complete an incident report.
  • Communicate with the parent according to school policy.
  • Document what happened clearly and objectively.

12.2 Incident Report Must Include

The closing administrator must:

  • Support classroom combinations.
  • Walk the building before closing.
  • Confirm all children have been signed out.
  • Check that classrooms are clean.
  • Verify doors and gates are secured.
  • Review any incidents from the day.
  • Confirm staff clock out properly.
  • Prepare notes for the next day.

14.3 Teacher Responsibilities

Teachers must:

  • Keep children engaged until pick-up.
  • Communicate important information to parents.
  • Pack children’s belongings.
  • Clean classroom areas.
  • Take out trash if assigned.
  • Disinfect tables and surfaces.
  • Organize materials for the next day.
  • Turn off lights and close classroom properly.

14.4 Final Building Check

Before leaving, the closing administrator must check:

  • Bathrooms
  • Classrooms
  • Playground
  • Kitchen / food areas
  • Hallways
  • Offices
  • Storage areas
  • Doors and windows
  • Sign-out records

No staff member may leave until all assigned closing duties are complete.


15. Staff Attendance and Schedule Procedure

All staff must:

  • Clock in and out properly.
  • Follow the assigned schedule.
  • Notify leadership of absences as early as possible.
  • Request time off according to policy.
  • Remain flexible to support school needs.
