New Employee Onboarding Process
Purpose
A streamlined and structured onboarding process is essential to set new team members up for success. This SOP establishes a consistent, supportive framework that ensures employees feel confident, prepared, and aligned with organizational expectations from their first day. Proper onboarding improves performance, strengthens culture, and reduces early turnover.
Week 1: Foundational Onboarding
STEP 1: Conduct a Facility Tour
On the employeeâs first day, the assigned supervisor or director must provide a comprehensive tour of the facility. The goal is to familiarize the new hire with their environment, key locations, and safety expectations.
The tour must include:

Assigned workspaces and team office locations

Shared areas such as break rooms, restrooms, and staff-only spaces

Emergency exits, evacuation routes, and safety equipment
This step helps the employee feel welcomed, oriented, and secure within the workplace.
STEP 2. Invite New Hire to the Teacher Community
- Send an email invitation to the new hire with access to the Teacher Community.
- Include the community link and ensure they successfully log in.
- All required trainings are located inside the learning tab of the community.
- Each section includes:
- Short, easy-to-follow training videos
- A quiz at the end of each section
Important:
The quizzes are designed to ensure employees read and understand the handbook before passing.
New hires must download the 2026 Staff Handbook from the platform.
They are required to use the handbook to complete and pass each quiz.
Director Action:
Print a copy of the Staff Handbook for each new hire.
STEP 3. Assign a Coach for Hands-On Training
Each new hire must be paired with a trained coach or mentor during their first week. Coaches are responsible for supporting skill transfer and reinforcing expectations through real-time modeling.
Director Action:
- Print all SOP Cards
- Provide them to both the trainer and new hire
Classroom-Based SOP Practice
Rotate new hires into different classrooms
Have experienced staff model procedures, including:

- Handwashing
- Diapering
- Other daily routines
New hires should:
- Observe closely
- Ask questions
- Practice under supervision
Coach responsibilities include:

Explaining essential workplace policies and procedures

Demonstrating daily routines and job-specific tasks

Providing guidance during initial practice
This hands-on support accelerates learning and builds confidence while maintaining consistency across teams.
STEP 4. Complete the Standardized Onboarding Checklist
A standardized onboarding checklist must be used to ensure accountability and consistency. Both the coach and the new employee are responsible for completing and reviewing all required items during Week 1.
Checklist items include, but are not limited to:

The checklist must be reviewed and signed by the supervisor at the end of Week 1 to confirm completion and readiness to move forward.

After successful completion of Week 1 onboarding, employees transition into role-specific and developmental training. Responsibilities and expectations are introduced gradually to ensure sustainability and long-term success.
Ongoing training may include:
