Procedure
STEP 1: Acknowledge the Concern
Who: Teacher or Front Desk Staff

Listen without interruption.
-
Acknowledge the parent’s feelings without agreeing with assumptions.
-
Do not explain classroom behavior policies or defend staff in the moment.
What to Say
“I understand why that might feel concerning. Thank you for sharing this with me. I’m going to document your concern and share it with our Director so we can review it together and follow up with you.”
STEP 2: Document the Concern
Who: Staff receiving the concern
Document the following the same day:

Date and time
-
Parent/guardian name
-
Child’s name and classroom

Summary of concern (facts only, no opinions)

Your name and role
Submit documentation to the Director or Assistant Director.
STEP 3: Administrative Review
Who: Director or Assistant Director

Review the concern and classroom context.

Determine whether:

Classroom expectations are being applied consistently
-
Communication gaps exist
-
Additional staff coaching or clarification is needed
-

Meet privately with the teacher if clarification is required.
Important

Do not discuss internal coaching or disciplinary actions with families.

Maintain staff and student confidentiality at all times.
STEP 4: Director Follow-Up With Family
Who: Director or Assistant Director

Contact the family within 24 business hours.

Acknowledge the concern.

Explain classroom expectations in neutral, developmentally appropriate language.

Emphasize consistency and partnership.
What to Say
“We reviewed classroom expectations, and I’d like to walk you through how behavior is supported consistently for all children. Our goal is to help every child succeed while maintaining a positive learning environment.”
STEP 5: Alignment & Resolution
Who: Director

Clarify any next steps or supports for the child.

Reinforce shared goals between school and family.

Invite continued communication if concerns persist.

Document the resolution and any follow-up actions.
What Staff Must NOT Do

Defend or justify classroom actions in the moment

Compare the child to other children

Share information about other families or staff

Minimize or dismiss the concern

Handle repeated concerns without leadership involvement
Escalation Guidelines
Immediate Director involvement is required if:

A parent alleges unfair treatment or targeting

Emotions escalate
-
A staff member is directly accused of misconduct
-
A parent requests leadership involvement
Documentation Requirement
All concerns, reviews, and resolutions must be logged in the Parent Communication Log within 24 hours
