SOP: Confidentiality of Information
1. Purpose
The purpose of this SOP is to protect the confidentiality of all information related to the program, children, families, and employees. Maintaining confidentiality is essential to ensure trust, professionalism, legal compliance, and the safety and well-being of all individuals associated with Young Innovators Academies.
2. Scope
This SOP applies to all employees, administrators, substitutes, volunteers, interns, and contractors of Young Innovators Academies. It applies to all forms of confidential information, including verbal, written, electronic, and recorded data.
3. Policy Statement
All confidential information obtained during employment must be handled with the highest level of discretion. Confidential information must never be disclosed, discussed, or shared with unauthorized individuals inside or outside the organization, except when required by law and only through proper reporting procedures.
4. Definition of Confidential Information
Confidential information includes, but is not limited to:

Child records, assessments, health information, and behavior reports

5. Procedures
Handling Confidential Information

Confidential information must only be accessed on a need-to-know basis.

Information must be stored securely and protected from unauthorized access.

Confidential discussions must take place in private settings and never in public or common areas.
Communication Restrictions

Confidential information must not be discussed with parents, staff, or third parties outside of professional and authorized contexts.

Staff must not share personal opinions, internal concerns, or private matters related to children, families, or employees.
Reporting Concerns

Employees must not independently contact outside organizations, agencies, or individuals regarding confidential matters.

All concerns must be reported directly to the Director.

The Director will determine whether internal investigation or external reporting is required and will follow all applicable laws and procedures.
Legal Reporting

When disclosure is required by law, employees must follow established reporting protocols and documentation requirements.

No information may be disclosed without Director authorization unless immediate reporting is legally mandated.
Professional Boundaries
While building positive relationships with families and coworkers is encouraged, all interactions must remain professional. Informal conversations must never include confidential or sensitive information.

Failure to comply with this SOP is considered a serious violation of professional standards and may result in disciplinary action, up to and including termination of employment.
