Fire Hazard Prevention & Equipment Maintenance SOP
Purpose
To ensure all areas and equipment within the facility are maintained in a safe condition and free from fire hazards through routine inspection, cleaning, and documentation.
Scope
This SOP applies to all facility areas, classrooms, kitchens, laundry areas, mechanical rooms, and storage spaces.
Responsibility
The Director/Operator is responsible for ensuring compliance with this SOP. Designated staff or vendors may perform tasks under the Directorâs supervision.
Procedure
1. Routine Facility Inspections

Conduct monthly fire safety inspections of all indoor and outdoor areas.

Inspect for potential fire hazards including dust, lint, grease, clutter, or blocked airflow.

Document findings and corrective actions on the Fire Safety Inspection Log.
2. Ventilation & Air Systems Maintenance
The Director/Operator shall ensure the following are clean and free from buildup:

Heating and air conditioning vents

Air filters
-
Exhaust fans
-
Ceiling fans
-
Dryer vents and lint traps
Action Steps:

Clean or replace air filters according to manufacturer recommendations or at minimum quarterly.

Remove visible dust or lint buildup from vents and fans monthly.

Ensure dryer lint traps are cleaned after every use.

Schedule professional HVAC servicing annually or as required.
3. Kitchen & Food Equipment Fire Prevention
To prevent grease-related fire hazards:

Clean ovens, stovetops, grills, fryers, and food preparation equipment daily.

Inspect for grease buildup behind and beneath appliances weekly.

Clean exhaust hoods and filters per manufacturer guidelines or at least monthly.

Ensure no flammable materials are stored near heat-producing equipment.
4. Laundry Area Safety

Clean dryer lint traps after each load.

Inspect dryer vents and exhaust ducts monthly.

Remove lint buildup behind and around dryers.
-
Keep laundry areas free of clutter and combustible materials.
5. Immediate Hazard Response
If a fire hazard is identified:

Address the issue immediately when possible.

If repairs or professional service are required, remove the equipment from use until resolved.

Document actions taken and follow-up completion dates.
6. Documentation & Recordkeeping
