🎯 Purpose
To establish a consistent and professional process for staff to request planned time off, ensuring adequate classroom coverage and minimal disruption to operations.
📌 Scope
This SOP applies to all full-time and part-time employees, including teachers, assistants, floaters, and administrative staff.
🛠️ Procedures
1. Submitting a Leave Request

All leave requests must be submitted directly to the Director using the designated form or written communication.

Requests should include the date(s) of leave, reason (optional for personal time), and any relevant shift or classroom impact.
2. Advance Notice

Staff are expected to provide as much advance notice as possible, with a minimum of:

Two weeks’ notice for planned personal leave or appointments

Four weeks’ notice for vacation requests

Immediate notification for emergencies or illness

3. Approval Process

The Director will review each request based on staffing needs, operational coverage, and fairness across the team.

Approval or denial will be communicated in writing within 3 business days of the request.

Requests are not considered approved until written confirmation is received.
4. Same-Day Call-Outs (Illness or Emergency)

Staff must notify the Director as early as possible, preferably before 6:30 AM.

Use the designated communication method (text, phone call, or staff app).

Staff must communicate directly—no messages through coworkers.
5. Coverage and Accountability

The Director or leadership team will arrange coverage.

Staff are not responsible for finding their own replacements but may assist in the process.

Excessive or last-minute absences may result in a performance review or documentation.
