Daily Child Reports SOP

Purpose

Daily Child Reports are a required communication tool used to keep families informed about their child’s daily routines, learning experiences, and milestones atĀ Young Innovators Academies. These reports strengthen trust, transparency, and family engagement.


Responsibility

  • Primary Responsibility:Ā Classroom Teacher

  • Oversight:Ā Director

Daily reportsĀ must be completed every dayĀ for each child enrolled in the classroom.


Platform

  • Reports must be completedĀ daily within the approved communication platformĀ before the end of the school day.

  • Reports should be reviewed for accuracy and completeness before submission.


Step-by-Step Procedures

Step 1: Complete the Report Daily

  • Log into the platform at the end of the instructional day.

  • EnsureĀ every childĀ has a completed report prior to dismissal or end-of-day cutoff.


Step 2: Use Professional Language and Tone

  • Write all comments using:

    • Positive, respectful, and professional language

    • Correct grammar and sentence structure

    • Politically appropriate wording

  • If unsure of spelling or phrasing:

    • Do not guess

    • Ask front desk personnel or a supervisor for assistance


Step 3: Document Required Daily Activities

Each daily reportĀ must includeĀ the following components, as applicable:

  • Meals and snacks

    • Include bottle feedings for infants

  • Circle time activities

  • Diaper changes or toileting

  • Art and creative activities

  • Sign Language instruction

    • Mandatory daily for Infant and Toddler classrooms

  • Curriculum-based lesson highlights

  • Outdoor or playground time

  • Nap/rest times and duration

  • Developmental milestones

    • Examples: first steps, new words, social interactions

  • Messages

    • General class updates or individual child notes


Step 4: Address Milestones Thoughtfully

  • Document developmental achievements clearly and positively.

  • Be factual and encouraging when describing progress.

  • Use milestone notes to celebrate growth and learning.


Step 5: Follow the Challenging Behavior Protocol

If a child demonstrates challenging behavior:

  1. Immediately notify the Director

  2. Do not:

    • Discuss the behavior with parents

    • Include the behavior in the daily report

  3. Follow all procedures outlined in theĀ Behavior Management and Documentation SOP

  4. Only include behavior-related information in reportsĀ with Director approval


Step 6: Review Before Submitting

Before final submission:

  • Confirm all required sections are completed

  • Ensure tone reflects care, professionalism, and accuracy

  • Double-check for spelling and clarity


Compliance Expectations

  • Daily Child Reports areĀ mandatory

  • Incomplete or missing reports may result in retraining or corrective action

  • Consistent documentation supports licensing, family trust, and program quality
