SOP: Releasing a Child to Authorized Persons
Purpose
The purpose of this SOP is to ensure that every child is released only to individuals who are authorized by the parent or legal guardian. Proper release procedures are critical to protecting childrenâs safety, preventing unauthorized access, and maintaining compliance with licensing and safety regulations.
Policy
Children may only be released to individuals who are listed as authorized on the childâs enrollment and authorization records. Verification of identity and authorization is required for every pick-up. No exceptions are permitted without Director approval.
Step-by-Step Procedures
STEP 1: Maintain Authorized Pick-Up Records

Parents or legal guardians must provide a written list of authorized individuals at enrollment.

Full name

Relationship to the child

Contact information

Authorized pick-up information must be kept current at all times.

Changes to authorized pick-up lists must be submitted in writing by the parent or guardian.
STEP 2: Greet and Identify the Adult

Staff must greet every adult who enters the classroom or designated pick-up area.

If the adult is unfamiliar to the staff member:

Introduce yourself

Ask the adultâs name and their relationship to the child

This greeting serves as a secondary safety check and helps prevent misunderstandings.
STEP 3: Verify Identity

Request a valid photo ID if:

The adult is unfamiliar

The staff member has not previously verified the individual

Acceptable identification includes:

Driverâs license

Government-issued photo ID

Ensure the name on the ID matches the authorized pick-up list exactly.
STEP 4: Confirm Authorization

Cross-check the individualâs name with the childâs authorized pick-up list.

If a secure check-in/check-out system is used:

Verify required codes, photos, or credentials.

If the individual is not listed:

Do not release the child

Contact the front office or Director immediately

STEP 5: Communication with Front Office (When Needed)

If there is any uncertainty regarding authorization:

Call the front office or Director immediately

Do not rely on verbal confirmation from the adult alone

The Director or Administrator will determine next steps and contact the parent or guardian if needed.
STEP 6: Emergency & Alternate Pick-Up Procedures

If a parent or primary authorized person is unavailable:

Refer to the emergency contact list

Verify:

Photo identification

Document all emergency or alternate pick-up situations.
STEP 7: Secure Release Area

Children must only be released from:

A supervised classroom, or

A designated secure pick-up area

Unauthorized individuals may not enter classrooms or restricted areas.

Staff must remain present until the child is safely transferred to the authorized adult.
STEP 8: Documentation of Release

STEP 9: Communication with the Child
