Daily Report Misunderstanding – Nap Documentation

Situation

A parent is upset because the parent communication app shows their child did not nap, but the child actually slept briefly or rested for a short period.


Purpose

To ensure misunderstandings related to nap or rest documentation are handled calmly, accurately, and consistently, while maintaining family trust and improving communication clarity.


Applies To

  • Front Desk Staff

Procedure

STEP 1: Acknowledge the Concern

Who: Teacher or Front Desk Staff

  • Listen without interrupting.

  • Acknowledge the parent’s confusion or concern.

  • Do not explain or correct until facts are verified.

What to Say

“Thank you for bringing this up. I can see how that would be confusing. Let me make sure we understand what happened and get clarification from the classroom.”

STEP 2: Verify Classroom Information

Who: Lead Teacher or Administrator

Confirm:

  • Whether the child slept or rested

  • Approximate duration of sleep or rest

  • How the information was recorded in the app

STEP 3: Document the Clarification

Who: Administrator or Lead Teacher

  • Record the verified nap or rest details.

  • Note any discrepancy between actual rest and app documentation.

  • Identify whether documentation needs correction or clarification.

STEP 4: Director Follow-Up With Family

Who: Director or Assistant Director

  • Contact the family as soon as possible (same day preferred).

  • Clarify what occurred.

  • Reassure the family that accurate reporting matters.

What to Say

“Thank you for your patience. Your child did rest and slept for about 25 minutes. We’re going to make sure partial naps are documented more clearly moving forward.”

STEP 5: Corrective Action (If Needed)

Who: Director or Assistant Director

  • Review nap and rest documentation expectations with classroom staff.

  • Reinforce:

    • Full nap vs. partial nap vs. quiet rest definitions

    • Clear, consistent app entries

What Staff Must NOT Do

  • Guess or assume nap times

  • Minimize short naps or rest periods

  • Blame the app or another staff member

  • Dismiss the parent’s concern

Documentation Requirement

All parent concerns and follow-up actions must be logged in the Parent Communication Log within 24 hours.
