Position Title: Assistant Director – Parent Ambassador

Overview

The Assistant Director – Parent Ambassador plays a vital role in supporting our CADT strategy (Charm, Attract, Delight, and Track) to engage and inspire families while fostering a welcoming and thriving school community. This individual will focus on building trust, creating impactful connections with parents, and supporting the mission to deliver an exceptional school experience for families.

Key Responsibilities

Charm

  • Proactively contact leads and follow the enrollment pipeline to drive admissions.

  • Enter and manage new inquiries in the system to track prospective parents.

  • Ensure that there are marketing materials to promote the school and school uniforms for sale.

Attract

  • Check the school calendar for new tours

  • Generate a report for the director of no shows

  • Coordinate tours for prospective families under the direction of the school director.

  • Contact prospective parents via our app to follow up on questions.

  • Conduct campus tours when the director is unavailable, ensuring a positive and inviting experience for visitors.

Delight

  • Answer the phone for parents

  • Community

  • Provide a seamless and welcoming onboarding experience for newly enrolled families. This includes entering students into the system, setting up platforms, preparing student pictures, and making families feel welcomed on their first day.

  • Support the director in preparing and organizing student files for new enrollees.

  • Follow up on pending tasks and fulfill requests from families.

  • Serve as the point of contact for families regarding incident reports.

  • Plan and coordinate family-oriented events throughout the year.

  • Lead the management of summer camp coordination.

  • Assist the director in organizing special events that enhance the school experience for families.

  • Closing checklist of the school to ensure the facility Ā is Ā at the end of each day.

Track

  • Manage the school’s database to ensure accuracy of family information and contact details.

  • Monitor admissions data, including conversion rates, waitlist numbers, and enrollment projections.

  • Maintain accurate records of all communication with families, as well as any follow-up actions taken.

Track

  • Support the director in collecting Google reviews to evaluate and highlight outcomes.

  • Monitor organizational needs and identify opportunities for new programs in the surrounding community.

  • Track disenrollments, understanding and documenting reasons to improve retention efforts.

  • Build and manage online communities to foster parent engagement and community spirit.

  • Create inspiring community content such as recognitions, best practices, and announcements of new courses.

  • Oversee the reward program to motivate teachers and foster a culture of appreciation and teamwork within the school.
