Purpose:
To ensure classroom continuity, child safety, and a consistent parent experience when the lead teacher is unexpectedly or planned absent.

SITUATION

The assigned lead teacher is absent (planned or unplanned), and the classroom is covered by a substitute, float, or assistant teacher.

Parents may feel uncertainty, and children may show changes in behavior or routine.

  • Consistency reduces anxiety for children and families

  • Classrooms must remain calm, structured, and predictable

  • Substitutes must be set up for success

  • Parents should never feel surprised

STEP-BY-STEP PROCEDURE

STEP 1: Administrative Coverage Plan

Director / Assistant Director Responsibilities

  • Assign a qualified substitute, float, or assistant

  • Confirm ratios and coverage before children arrive

  • Identify a point person for classroom questions

STEP 2: Classroom Continuity Setup

Before the Day Begins

  • Provide the substitute with:

    • Daily schedule

    • Classroom routines

    • Behavior expectations

    • Emergency procedures

  • Ensure lesson plans or activities are available

  • Maintain consistent transitions and routines

STEP 3: Staff Communication in the Classroom

Substitute / Support Staff Responsibilities

  • Greet children confidently by name

  • Acknowledge the lead teacher’s absence calmly

Approved Language to Children:
“Your teacher is out today, but I’m here to help you and keep our day the same.”

STEP 4: Parent Communication

When to Communicate

  • At drop-off if the absence is noticeable

  • Via app if needed for clarity

Approved Parent Language:
“[Teacher’s name] is out today. [Sub’s name] is supporting the class, and routines are continuing as usual.”

Do not overshare details about the absence.

STEP 5: Observation & Support

  • Monitor children for:

    • Separation difficulty

    • Behavior changes

    • Emotional responses

  • Provide additional reassurance and structure as needed

STEP 6: Documentation & Accountability

  • Substitutes follow all documentation expectations:

    • Attendance

    • Diapering / care

    • Meals

    • Incidents

  • Director or Lead reviews documentation for accuracy

STEP 7: End-of-Day Follow-Up

Director Responsibilities

  • Check in with substitute and staff

  • Address any issues or gaps

  • Communicate with families if needed

WHAT STAFF MUST NEVER DO

  • Say “Your teacher isn’t here” without reassurance

  • Apologize excessively or express concern

  • Share personal details about staff absence

  • Lower expectations for care or documentation
