Scope

This SOP applies to all team members responsible for answering the school phone, including Directors, Administrative Assistants, and Receptionists.

Why It Matters

  • Every missed or poorly handled call can result in a lost enrollment opportunity.

  • Many parents are calling during limited breaks, and if not answered promptly or professionally, they move on to the next school.

  • Phone etiquette reflects your school’s values of care, professionalism, and responsiveness.

Procedure

📞 1. How to Answer the Phone

  • Pick up within 3 rings whenever possible.

  • Use this professional greeting:

    “Good morning/afternoon! Thank you for calling (.school ), this is [Your Name] — how can I help you today?”

Key Elements:

  • Greet warmly

  • Say the school name clearly

  • Provide your name to make it personal

  • End with a service-oriented question

Pro Tip: Smile while you speak — your tone will reflect warmth and friendliness.

2. If You Are Busy or It’s After Hours

Voicemail Script:

“Hi, you’ve reached . We’re busy loving and learning with our students right now. Please leave your name, number, and your child’s age — and we’ll get back to you within one business day!”

Voicemail Guidelines:

  • Voicemail must be set up and updated regularly.

  • Always respond to voicemails within one business day.

  • If multiple staff share the phone line, assign a daily check-in schedule for voicemails.


 

3. If You Cannot Answer the Phone

  • Implement one or more of the following:

    • Call forwarding to an available team member

    • AI receptionist or automated answering system

    • CRM auto-responder to send text/email follow-up

All methods must:

  • Acknowledge the inquiry

  • Reassure the caller they’ll hear back soon

  • Collect essential contact information
