SOP: Employee Termination Meeting

Purpose

To ensure all employee termination meetings are conducted in a consistent, respectful, professional, and legally compliant manner while protecting the organization, leadership, and staff.


Scope

This SOP applies to all Directors, Administrators, Owners, and authorized leadership personnel responsible for employee terminations.


Responsibilities

  • Director/Administrator: Leads the termination meeting and ensures completion of all steps.

  • Human Resources (if applicable): Provides compliance guidance, documentation, and benefits information.

  • Leadership Team: Maintains confidentiality and operational continuity.


Procedure

Step 1: Pre-Meeting Preparation

Prior to scheduling the termination meeting, the Director must:

  • Confirm termination approval with HR and/or ownership

  • Verify documentation is complete and accurate

  • Prepare all required materials, including:

    • Termination notice

    • Final paycheck information

    • Benefits or COBRA information (if applicable)

    • Company property checklist

  • Schedule the meeting in a private, confidential location

  • Determine attendees (Director and HR representative if applicable)


Step 2: Conduct the Termination Meeting

2.1 Opening Statement

The Director will begin the meeting by stating:

“Thank you for meeting with me today. This conversation may be difficult, but I want to be clear and respectful.”


2.2 Communicate the Decision

The Director will clearly state:

“After careful review, we have made the decision to end your employment with [Organization Name], effective [date].”

(Pause to allow the employee to process.)


2.3 Provide a Brief Reason

The Director will state:

“This decision is based on [performance concerns / policy violation / attendance issues / organizational restructuring], which has been previously discussed and documented.”

“At this point, the decision is final.”

No additional details or debate should occur.


2.4 Maintain Professional Empathy

The Director may acknowledge the situation by stating:

“I understand this may be difficult to hear, and I want to approach this conversation with respect.”


2.5 Review Final Pay, Benefits, and Property

The Director will review:

  • Final paycheck details and delivery timeline

  • Benefits continuation or end date

  • Required return of company property (keys, badge, devices, materials)

  • System and facility access termination procedures


2.6 Close the Meeting

The Director will conclude with:

“We will take care of notifying the team and managing coverage.”

“If you have questions about your final pay or benefits, [HR contact name] will be available to assist you.”

“Thank you for the time you’ve spent with [Organization Name]. We wish you the best moving forward.”


Step 3: Immediate Termination (If Applicable)

If termination is due to a serious policy violation, the Director will state:

“Due to a serious violation of policy, today will be your final day of employment, effective immediately.”

The employee must be escorted respectfully, and access must be revoked immediately.


Step 4: Post-Meeting Actions

Following the termination meeting, the Director must:

  • Collect all company property

  • Disable system, email, community access, software access and facility access

  • Notify payroll, HR, and leadership as required

  • Document completion of termination steps in the employee file

  • Maintain confidentiality at all times


Key Guidelines

  • Do not argue, negotiate, or revisit the decision

  • Do not promise references or future employment

  • Do not discuss other staff or internal matters

  • Keep the meeting brief, calm, and professional


Compliance Note

All termination meetings must comply with federal, state, and local employment laws and follow organizational policy. When in doubt, consult HR or legal counsel prior to proceeding.
