Policy Statement:

At YIA, we are committed to ensuring accurate, timely, and compliant payroll processing for all employees. This Payroll Policy outlines the guidelines and procedures that govern our payroll practices, emphasizing our commitment to fair compensation, confidentiality, and compliance with relevant laws and regulations.

 Policy Guidelines

Payroll Processing:

  • Payroll will be processed on a weekly basis, in accordance with the organization’s established payroll schedule.
  • Payroll calculations will take into account hours worked, approved leave, overtime, and any other applicable earnings or deductions.

Payroll Deductions:

  • Deductions from employees’ pay will be made in accordance with legal requirements and authorized deductions, such as taxes, social security contributions, benefits premiums, retirement contributions, and voluntary deductions (e.g., contributions to employee savings plans).
  • Deductions that are not mandated by law will be made only with the explicit written authorization of the employee.

Direct Deposit:

  • Employees must enroll in direct deposit to receive their wages electronically.
  • Employees will be provided with the necessary information and instructions to set up direct deposit through the organization’s designated process.

Payroll Adjustments and Corrections:

  • Employees should promptly report any payroll discrepancies or errors to the HR department or the designated payroll contact.
  • Payroll adjustments or corrections will be made promptly after verification and validation of the reported issue.

Confidentiality and Data Security:

  • Payroll-related information, including salary details, deductions, and personal employee data, is strictly confidential.
  • All payroll records and data will be handled and stored in compliance with applicable laws and regulations, ensuring the security and privacy of employee information.

Payroll Communication:

  • Young Innovators Academy  will provide employees with regular and transparent communication regarding payroll-related matters, including changes in payroll policies, tax updates, and any other relevant information.
  • Employees are encouraged to seek clarification or raise questions regarding their payroll through the designated HR or payroll contact.

Policy Compliance:

  • All payroll practices will comply with applicable federal, state, and local laws and regulations, including tax and labor laws.
  • The organization will undergo periodic internal audits to ensure compliance and accuracy in payroll processing.

How to set up employees on Quickbooks

Step 1: Get employee info platform

Here’s what you need to have before you add an employee in payroll:

  • W-4: Employee’s Withholding Certificate of personal data such as name, address, social security number, dependents and adjustments. Your employees can enter this info when you invite them, but you are required to keep a copy of this for your records.
  • I-9: A form used to verify employment eligibility in the United States. Your employees must have valid Social Security numbers.  Don’t accept an ITIN in place of an SSN for employee identification or for work. An ITIN is only available to resident and nonresident aliens who aren’t eligible to work in the U.S. and need identification for other tax purposes. An ITIN starts with the number “9” and is formatted like an SSN (NNN-NN-NNN).
  • Email address: Send your employees an invite to add their personal info and have access to their pay stubs and W-2s online.
  • Work location: The address where your employee works.
  • Pay info: Employee’s salary or pay rate, other pay types, as well as pay schedule (how often you’ll pay them)
  • Direct deposit info: Employee’s bank routing number and account number. Employees can add up to 2 bank accounts.
  • Pay history: This only applies if you’re setting up your QuickBooks payroll service for the first time. If that’s true, and you’ve paid your employees already this year, you’ll need their year-to-date pay stubs so that you can have accurate year-end totals for taxes, etc. We’ll walk you through this, but be sure you have this info.
