SOP: Lost or Missing Child Procedure

Objective

To ensure the immediate and coordinated response to a lost or missing child, prioritizing the safety and well-being of all children.


 

Section 1: Missing Child On-Site

1. Immediate Response

  • The staff member who notices the child is missing must notify the Director or Assistant Director immediately.

  • The staff member should quickly confirm the count and search the immediate area (e.g., classroom, restroom, playground).

  • All staff should initiate an immediate and thorough search of:

    • Classrooms

    • Restrooms

    • Playgrounds

    • Hallways

    • Offices

    • Parking areas

    • Surrounding exterior perimeter

2. Secure the Environment

  • Close and monitor all facility exits.

  • Assign staff to monitor doors and prevent unauthorized entry or exit.

3. Director’s Role

  • The Director takes charge of the situation and continues coordinating the search.

  • If the child is not located within 5 minutes:

    • Call 911 and report the missing child.

    • Notify the child’s parents or guardians immediately and ask them to come to the center or designated location.

    • Provide police with:

      • Child’s name, age, physical description, and clothing

      • Last known location and time seen

      • Any known medical concerns or conditions

4. Documentation

  • Complete an incident report detailing the event, timeline, and actions taken.

  • Report to licensing and any required state authorities.


 

Section 2: Missing Child on a Field Trip

1. Immediate Response

  • The staff member who discovers a child is missing must:

    • Alert the Field Trip Coordinator or Site Security immediately.

    • Notify the Director by phone without delay.

  • Continue checking nearby areas discreetly while remaining calm.

2. Supervision of Other Children

  • Ensure another staff member is supervising the rest of the group at all times.

  • Keep all other children calm and in one place, using headcounts and name-to-face checks.

3. Director’s Role

  • The Director will:

    • Contact local authorities if the child is not located within 5 minutes.

    • Contact the child’s parents to inform them of the situation and provide updates.

    • Coordinate with the field trip site and law enforcement.

4. After the Incident

  • Complete a full incident report.

  • Conduct a debrief with staff to review actions and prevent future incidents.

  • Report to licensing and other required agencies as applicable.


 

General Prevention Protocols

  • Maintain accurate headcounts at all times.

  • Conduct frequent face-to-name checks during transitions and activities.

  • Always assign a designated “sweeper” during field trips to ensure no one is left behind.

  • Ensure all children wear name badges or field trip shirts with school contact info during outings.

  • Practice monthly drills for emergency child search and supervision review.
