Scenario: Parent Discovers Injury With No Bandage or Report

Applies To: Teachers, Support Staff, Directors
Purpose:
To ensure all injuries are handled with immediate care, proper documentation, and professional communication—especially during parent pick-up—while preventing dismissive or inappropriate staff responses.

SITUATION

At pick-up, a parent notices their child has a visible cut or injury.
There is:

  • No bandage applied

  • No incident/accident report completed

  • Teacher responds dismissively or inaccurately (e.g., “I don’t know. He came in like that.”)

This creates immediate loss of trust and escalates emotions.

CORE PRINCIPLES

  • All injuries must be addressed immediately

  • Parents should never discover injuries on their own

  • Staff must take responsibility for care and communication

  • Dismissive language is unacceptable

  • Leadership must intervene immediately

STEP-BY-STEP PROCEDURE

STEP 1: Immediate Response When Injury Is Noticed

Teacher Responsibilities

  • Stop what you are doing

  • Acknowledge the parent’s concern

  • Check the child immediately

  • Provide first aid per policy (clean wound, apply bandage)

  • Call for administrative support right away

Approved Language:
“Thank you for bringing this to my attention. Let me take care of this right now and bring our Director in.”

STEP 2: What Teachers MUST NOT Say

✘ “I don’t know what happened.”
✘ “He came in like that.”
✘ “It’s not a big deal.”
✘ “He’s fine.”

If unsure how the injury occurred, staff must say:

Approved Language:
“I’m not certain how this happened, but we are going to address it immediately and document everything.”

STEP 3: Administrative Intervention

Director or Assistant Director Responsibilities

  • Join the conversation immediately

  • Assess the injury

  • Ensure first aid has been properly administered

  • Take ownership of the situation

Approved Language:
“I’m so sorry this wasn’t addressed sooner. Let me take a look, explain what we know, and walk you through next steps.”

STEP 4: Documentation

Director Responsibilities

  • Complete an Incident/Accident Report immediately

  • Include:

    • Description of the injury

    • When it was discovered

    • Care provided

    • Staff involved

  • Review classroom supervision and injury awareness

STEP 5: Parent Communication & Emotional De-Escalation

Director-Led Conversation

  • Remain calm and transparent

  • Validate the parent’s concern

  • Avoid blaming staff in front of parent

Approved Language:
“I understand why this is concerning. We expect injuries to be addressed and documented right away, and we are reviewing what happened to ensure this does not happen again.”

STEP 6: Staff Coaching & Follow-Up

Leadership Responsibilities

  • Address the dismissive response privately with staff

  • Reinforce expectations:

    • All injuries = first aid + report

    • Parents are partners, not inconveniences

  • Document coaching if required

PREVENTION EXPECTATIONS (DAILY)

  • Teachers must do regular visual checks of children

  • All cuts, bumps, or marks require:

    • Immediate care

    • Incident/Accident Report

    • Parent notification

  • When in doubt → document

WHAT STAFF MUST NEVER DO

  • Ignore or delay care

  • Minimize an injury

  • Blame the child or family

  • Dismiss parent concerns

  • Guess or lie about what happened
