Purpose
This toolkit provides structured activities, prompts, and facilitator notes for directors and leaders to run effective, engaging, and consistent staff meetings at Young Innovators Academies.
đ˘ Meeting Structure
1. Welcome & Warm-Up (5 min)
- Greet staff and share one positive story from the week.
- Optional icebreaker:Â âOne word to describe how youâre feeling today.â
2. Highlights & Updates (10 min)
- Share key organizational updates, reminders, or policy clarifications.
- Recognize staff achievements (birthdays, anniversaries, shout-outs).
3. Training Spotlight (15â20 min)
- Each meeting should include a short training segment.
- Use provided modules or rotate focus: Safety, Code of Conduct, Parent Communication, Curriculum.
4. Team Building & Exercises (15â20 min)
- Interactive activities designed to reinforce teamwork, culture, and communication.
5. Reflection & Commitments (5 min)
- Each staff member shares one action they will take before the next meeting.
- Close with encouragement and a reminder of the mission/values.

- Keep it moving:Â Stay on time, respect staff schedules.
- Be engaging:Â Use scenarios, role-play, and group discussions.
- Document:Â Keep attendance, notes, and follow-up action steps.
- Celebrate wins:Â Always end with something positive.
đ˘ Meeting Exercises
1. Code of Conduct Scenarios
- Purpose:Â Reinforce professional behavior expectations.
- Instructions:Â Read a scenario aloud. Staff discuss in small groups how to respond.
- Example Scenario:Â A parent arrives upset because they were not updated about their childâs nap. How should you respond?
- Debrief:Â Tie responses back to the Staff Handbook Code of Conduct.
2. Safety Drill Simulation
- Purpose:Â Practice quick thinking in emergencies.
- Instructions:Â Announce a type of drill (fire, lockdown, severe weather). Staff explain or role-play what steps they would take.
- Debrief:Â Review correct steps and answer questions.
3. Team Collaboration Challenge
- Purpose:Â Strengthen teamwork and communication.
- Instructions:Â Divide into small groups. Each group lists three ways teamwork shows up in the classroom. Share back with the group.
- Debrief:Â Highlight common themes and connect to daily practices.
4. Parent Communication Role-Play
- Purpose:Â Build confidence in handling family interactions.
- Instructions:Â Pair staff. One acts as the parent, the other as the teacher. Scenario examples:
- Parent upset about missing report.
- Parent concerned about behavior note.
- Parent praising staff.
- Debrief:Â Reinforce professionalism, empathy, and use of the communication app.
5. Reflection Round
- Purpose:Â Encourage accountability.
- Instructions: Ask: âWhat is one thing youâll do differently or better this week?â Each staff member shares.
- Debrief:Â Record responses and revisit next meeting.
