Beginning of the year asessments

SOP: Beginning-of-Year Assessments


 

Purpose:

To ensure all children enrolled receive timely, consistent, and developmentally appropriate assessments that guide instruction and support family engagement.


 

Scope:

This SOP applies to all lead teachers, assistant teachers, and instructional coordinators responsible for conducting and documenting developmental assessments within the first 30 days of a child’s enrollment.


 

Procedure:

1. Prepare Assessment Materials

  • Gather approved developmental screening tools (e.g., ASQĀ®, GOLDĀ®, anecdotal records).

  • Prepare any classroom observation checklists or note-taking tools.

  • Review previous records if the child is transitioning from another classroom.

2. Conduct Assessments (Days 1–30)

  • Begin assessments within the first week of the child’s enrollment.

  • Use a combination of:

    • Formal tools (ASQ, GOLD)

    • Informal observations

    • Work samples

    • Anecdotal records

  • Ensure assessments are conducted in a developmentally appropriate, play-based, and non-intrusive manner.

3. Document Developmental Levels and Learning Goals

  • Record data in the child’s individual portfolio or digital system (e.g., Teaching Strategies GOLD).

  • Summarize:

    • Strengths and milestones

    • Areas for growth

    • Initial learning goals for the next 90 days

4. Analyze and Use Assessment Data

  • Identify trends to inform:

    • Weekly lesson plans

    • Small group instruction

    • Classroom environment design

    • Individualized learning strategies and accommodations

5. Share Results with Families

  • Schedule the first Parent-Teacher Conference within 6–8 weeks of enrollment.

  • Prepare a conference summary outlining:

    • Key developmental findings

    • Examples of child’s work

    • Learning goals

  • Provide suggestions for home activities that support child’s development.

6. Follow-Up

  • Revisit goals at the next assessment checkpoint (mid-year).

  • Update lesson plans and groupings based on evolving data.

Compliance & Quality Assurance:

  • Checklists and timelines are reviewed by the Curriculum Coordinator.

  • Incomplete assessments or missing conferences are flagged for follow-up.

  • Family feedback is collected to improve the process annually.
