Field Trip Procedures

Organizing a field trip in childcare involves careful planning, communication, and implementation to ensure the safety and well-being of the children. Here is a step-by-step guide for field trip procedures in childcare:

  1. Obtain Permission:
    • Inform parents or guardians about the upcoming field trip well in advance.
    • Provide detailed information about the trip, including the purpose, destination, date, time, and any associated costs.
    • Create a permission slip for parents to sign, indicating their consent for their child to participate.
  2. Risk Assessment:
    • Conduct a thorough risk assessment of the chosen destination to identify potential hazards.
    • Develop strategies to minimize and manage risks, ensuring the safety of the children.
  3. Emergency Procedures:
    • Establish clear emergency procedures and communicate them to staff, volunteers, and parents.
    • Provide contact information for all participants and emergency services.
    • Assign responsibilities to staff members for various emergency scenarios.
  4. Medical Information:
    • Collect and carry essential medical information for each child, including allergies, medications, and emergency contacts.
    • Ensure that staff members are aware of any specific medical needs and how to address them.
  5. Ratio and Supervision:
    • Adhere to required adult-to-child ratios for supervision, and ensure there are enough responsible adults for the number of children attending.
    • Assign specific responsibilities to each adult to maintain control and oversight.
  6. Transportation:
    • Select reliable and appropriate transportation.
    • Ensure all vehicles are properly insured, and drivers have the necessary licenses.

    • Staff members should also wear identification and be easily identifiable by children and other adults.

    • Provide parents with contact information for the trip leaders in case they need to reach the group.

    • Pack a first aid kit with essential supplies.
    • Bring any necessary medications for children with specific medical needs.

Make sure to double check the time you are to get on the bus, and have children ready to go and on the bus by that time (due to appointment times)

In the morning, check what time the snack is supposed to be at. It varies everyday depending on your field trip. (Cook will usually let you know, if they haven’t just pop in there and ask him)

Depending on the time of the field trip, they sometimes will eat lunch at Young Innovators Academy  before they go on a field trip. If they are to eat at the field trip, make sure you have the following.

Make sure the children that bring lunch have it with them.

Make sure you have the big Gatorade cooler filled with water.

Make sure you have two big  coolers containing sandwiches with ice packs if necessary

Always make sure the children are cleaning up after themselves and clean messes before leaving your destination to eat lunch, we always want to leave a good impression.

If they have lunch at  Young Innovators Academy and there is no field trip, lunch time is 1:00pm, unless the cook tells you otherwise.

Afternoon snack is at 3:30pm, if you are on a late field trip, lunch time is 1:00pm, unless the cook tells you otherwise.

Afternoon snack is at 3:30pm, just have them wash hands and go straight to afternoon snack.

Don’t forget the summer camp binder, the credit card and medicine box (big toolbox) located up front. It contains emergency medicine for children that may need it.

Once you arrive on a field trip, you must call  Young Innovators Academy and let them know you have arrived safely. 407-278-0210, same applies to when you are leaving a field trip and heading back to  Young Innovators Academy.

When you get on the bus, you must perform a roll call located in the summer camp binder. You will have to fill in the time you depart as well as where you are going and when you arrive there. Once you get back on the bus from the field trip you will need to call names again, and document the time you depart, and arrive back at Young Innovators Academy. It will require two signatures, the bus drivers and the teachers.

Always make sure when you pay for the field trip that you receive a receipt to the front desk, along with the credit card, they will take care of it.

Constantly count your children on the field trip and make sure they are using the restroom and getting plenty of water if the field trip is outside.
