Removal of child from classroom

Grounds for Removal

A child may be removed from the program for any of the following reasons:

1. Safety or Behavioral Concerns

  • The child displays repeated aggressive behavior that endangers others or staff.

  • The behavior persists despite documented interventions and parent collaboration.

  • The child’s needs cannot be met safely within the current classroom setting.

2. Family Non-Compliance

  • Continued disregard for policies in the Parent Handbook (e.g., pick-up/drop-off times, illness policy).

  • Inappropriate conduct toward staff, children, or other families.

3. Financial Delinquency

  • Tuition is more than 2 weeks past due without a signed payment plan.

  • Repeated failure to comply with financial agreements.


 

Procedure

Step 1: Documentation

  • All incidents or concerns must be documented in detail, including:

    • Date and description of the incident or issue.

    • Staff involved or witness statements.

    • Action taken or communication with the family.

  • Documentation should be stored in the child’s confidential file.

  • For behavioral concerns, include copies of:

    • Incident reports.

    • Behavioral intervention plans (if applicable).

    • Parent communication records.


 

Step 2: Family Notification and Intervention Plan

  • The Director will:

    • Notify the family in writing of the concern(s).

    • Schedule a face-to-face or virtual meeting within 3 business days.

    • Offer support plans (e.g., behavioral strategies, observation referrals, payment plans).

    • Set a timeline for improvement and next review date (typically 1–2 weeks).

  • Provide written summary of meeting and expectations for improvement.


 

Step 3: Follow-Up and Final Review

  • After the agreed timeline, the Director will:

    • Review progress with staff and/or specialists (if applicable).

    • Schedule a follow-up meeting with the family.

  • If improvement is observed, document and continue monitoring.

  • If no improvement is made, the Director may proceed with dismissal.


 

Step 4: Formal Removal Process

If the decision is made to remove the child:

  • A formal removal letter will be issued, including:

    • Summary of efforts made to support the child/family.

    • Specific reasons for removal.

    • Final date of attendance (minimum 3 business days’ notice unless immediate risk is present).

    • Information on tuition balance and final invoice.

  • Copy of the letter will be stored in the child’s file.

  • Notify teaching staff discreetly and respectfully to plan transition.


 

Emergency Removal Protocol

In cases where a child presents immediate danger to themselves or others:

  • The Director has the authority to:

    • Contact the parent/guardian for same-day pick-up.

    • Temporarily suspend attendance pending review.

  • An emergency meeting will be scheduled within 24–48 hours.

  • A temporary or permanent removal decision will follow the emergency meeting based on findings.


 

Communication Guidelines

  • All communication must be:

    • Professional and objective.

    • Documented in writing.

    • Shared confidentially and respectfully.

  • Staff should not discuss removal with other families or unauthorized staff.
