New Staff orientation checklist

🕒 Orientation & Training Time Requirements

All directors must ensure the following orientation and training timelines are met. Use this guide to stay compliant.

 

✅ A. Required Training by End of First Day of Job Responsibilities

All new staff must be trained in:

  1. Job responsibilities and reporting structure

  2. Policies and procedures related to their role

  3. Playground safety procedures

  4. Identifying and reporting child abuse & neglect (per §63.2-1509)

  5. Confidentiality of child and family information

  6. Licensing standards that apply to their specific responsibilities

 

✅ B. Required Written Information Before Supervising Children

Before supervising children, staff must receive the following in writing:

  1. Center’s philosophy

  2. Center hours, holiday schedule, emergency contact info

  3. Transportation safety procedures

  4. Child arrival/departure and emergency pick-up policies

  5. Medication and medical procedures policy

  6. Use of sunscreen, diaper ointment, insect repellent

  7. Chain of command and staff reporting structure

  8. Mandated reporter policy for child abuse/neglect

  9. Parent access policy (per §63.2-1813)

  10. Emergency communication procedures for parents

  11. Age-appropriate daily schedule

  12. Handwashing and diapering procedures

  13. Food and meal service policies

  14. Discipline and guidance policies

  15. Termination and dismissal policies

  16. Late-arrival supervision procedures

  17. Absence verification for children in dual programs

  18. Tracking child location (including field trips)

  19. Procedures for lost, ill, or injured children

  20. Emergency and disaster response protocols

  21. Medication storage and distribution procedures

  22. Medical emergencies and general emergency plans

 

 

📅 C. Annual Training Requirements

All staff working directly with children must complete:

  • Minimum 2o hours of child development and safety training annually

  • Up to 2 hours of First Aid/CPR may be included

  • CPR, First Aid, medication administration, and rescue breathing do not count toward the 16-hour total

 

🩺 D. Ongoing Operational Requirements

  • One trained staff in daily health observation on-site at all times

  • One staff member trained in First Aid & CPR on premises during hours of operation

  • One trained adult must accompany all field trips
