JOB DESCRIPTION:

The Vice President (VP) of Operations and Compliance is a senior leadership role responsible for overseeing and managing the operational and compliance aspects of Young Innovators Academy organization. This role plays a crucial part in ensuring the smooth and effective functioning of child care services while maintaining adherence to relevant laws, regulations, and quality standards.

The VP of Operations and Compliance of Young Innovators Academy plays a pivotal role in fostering a safe, nurturing, and compliant environment for children and staff while supporting the organization’s overall mission and goals.

VP Operations and Compliance responsible for enduring quality initiatives. The director will ensure that high quality goals are obtained through outcome based measurements and tracking methods. This position is responsible for training and development staff, ensuring quality program standard compliance and Ā directs the compliance programs, policies, reporting and practices. The position is responsible for program delivery relating to curriculum, activities and monitoring performance. Develops risk-based compliance testing of procedures to identify, detect and corrects non-compliance. Additionally, the position schedules training initiatives that inform stakeholders about compliance requirements

REQUIREMENTS:

Bachelor’s degree in a relevant field

At least 10 years of experience in compliance or a related field.

Strong knowledge of applicable laws and regulations.

Excellent communication and interpersonal skills.

Ability to work independently and as part of a team.

Strong business sense and industry expertise

Excellent mentoring, coaching and people management skills

Knowledge of DCF state compliance following the handbook. Helping the Academy face unavoidable challenges.

KEY RESPONSIBILITIES:

Develop and implement compliance policies and procedures in accordance with regulatory requirements.

Conduct monthly audits and reviews to ensure compliance with applicable laws and regulations.

Provide guidance and training to employees on compliance matters.

Collaborate with senior management to assess and mitigate compliance risks.

Serve as a liaison with regulatory agencies and other external stakeholders.

Reviewing company policies and advising management on possible compliance risks

Oversee the network facilities management including building maintenance, cleaning services, scheduled improvements

Facilitate remediations with the Director to audit findings by training staff to make course corrections and prevent future violations

DCF staff compliance audits including references for new employees

VPK and School Readiness tracking and goal setting

Foster and maintain relations with business and communities.

LEADERSHIP AND STRATEGIS PLAN:

Provide strategic leadership and contribute to the development and implementation of Young Innovators’ mission, vision, and goals.

Collaborate with other senior leaders to develop and execute strategic plans that align with Young Innovators’ overall objectives.

OPERATIONAL MANAGEMENT:

Oversee the day-to-day operations of Young Innovators Academy centers, ensuring the delivery of high-quality services to children and families.

Develop and implement operational policies and procedures to optimize efficiency and effectiveness.

Monitor and evaluate operational performance, identifying areas for improvement and implementing corrective actions.

COMPLIENCE MANAGEMENT:

Stay informed about and ensure compliance with all relevant local, state, and federal regulations governing child care services.

Develop, implement, and maintain compliance policies and procedures to mitigate legal and regulatory risks.

Conduct regular internal audits to assess compliance and implement corrective measures as needed.

QUALITY ASSURANCE:

Establish and maintain quality assurance programs to uphold high standards of care and education.

Implement and monitor best practices in child care services, ensuring a safe and nurturing environment for children.

Work with staff to develop and implement continuous improvement initiatives.

STAFF MANAGEMENT:

Provide leadership and direction to staff in the operations and compliance departments.

Recruit, train, and mentor personnel to ensure a skilled and motivated management team.

Foster a positive organizational culture that values collaboration, accountability, and professionalism.

STAKEHOLDER RELATIONS:

Build and maintain positive relationships with regulatory agencies, licensing bodies, and other external stakeholders.

Collaborate with parents, community organizations, and educational institutions to enhance the child care program and its services.

BUDGET AND RESOURCE MANAGEMENT:

Develop and manage budgets for operations and compliance activities.

Optimize resource allocation to ensure cost-effectiveness while maintaining quality standards.

CRISIS MANAGEMENT:

Develop and implement crisis management plans to address emergencies or unforeseen events affecting child care operations.

Ensure staff are trained on emergency procedures and response protocols.

DATA ANALYSIS AND REPORTING:

Collect and analyze data related to operations, compliance, and quality metrics.

Prepare and present reports to senior management, identifying trends, issues, and areas for improvement.

CONTINUOUS LEARNING:

Stay abreast of industry trends, new regulations, and best practices in child care operations and compliance.

Attend relevant conferences, workshops, and training sessions to enhance professional development.

RESPONSIBILITIES :

Continually initiates, reviews, and evaluates key performances measures regarding service sites relating to strategic quality initiatives including, but not limited to, the achieving of DCF reporting ELC class scores, customer service standards. Involves the appropriate people, develops and executes corrective action plans.

Reviewing company policies and advising management on possible compliance risks.

Assists in the development of the annual business plan relating to quality initiatives for each area of youth development, curriculum and program goals, and assures that the child care staff have appropriate input and ownership in this process

Coordinates, implements, leads, and tracks training for staff in areas of licensing and program quality requirements, curriculum, assessment and outcomes, classroom management, and other related topics. Assist in the identification of staff training needs and development activities.

Provides on-site consultation and technical assistance to staff and Area Child Care Directors relating to program standards compliance, staff development, and quality initiatives.

Supports and assists Director in the safety compliance of the academy

Provide direct project management, training and consultative support to school-based staff to ensure consistent implementation of operations and compliance activities

Reviewing company policies and advising management on possible compliance risks

Oversee and coordinate with the Facilities Management team for campus-based support and services

Oversee the network facilities management including building maintenance, cleaning services, scheduled improvements

DCF assist new school opening licensing

School accreditations

Staff compliance on Bamboo

Conduct compliance audits and interpret these reports for the operations department

Oversee VPK Scores readiness scores in all schools

Oversee employee satisfaction survey

DAILY TASKS:

Director support

Enter new hires in Bamboo

Enter new hires in Thinkific and assign them to an onboarding specialist

Oversee that directors follow the processes

Supervise that new employees complete quizzes and assignments

Employees should be removed from Bamboo and removed for Thinkific immediately after termination.

Curriculum overview and event planning for every school

Complete daily/ hourly reports for the academies

Circle time on time

Industry specific compliance followed

Schedule is followed

Monitor staff ratios daily at different times to ensure quality and DCF regulations

Communicate with director on staffing needs

Enter new employee paperwork on Bamboo and enroll them in new employee campaigns on Hopscotch

WEEKLY TASKS:

Communicate with assistant director on school events and goals of the curriculum

Ensure that new employee onboarding is implemented and uploaded to Bamboo.

Send surveys at the end of the training to ensure the AT delivered a high quality experience

Set new employees for new employee training on Thinkific

coordinate new trainings

Support directors in preparing for the monthly meeting

Provide and Ā upload to share drive operations-compliance repots for all schools on Mondays

PROCESS MONTHLY TASKS:

Review VPK scores and class assessments

Coordinate director meeting

VPK report and updates
