Communicating With Parents About Extra Diapers
Procedure: Communicating With Parents About Extra Diapers
Purpose
This procedure ensures that communication with parents regarding extra diapers is handled with respect, empathy, and clarityâprioritizing the childâs comfort while maintaining a positive parent relationship.
The goal is to inform, not shame, and to offer solutions in a supportive, professional manner.
This procedure applies to all teachers, directors, and administrative staff at Young Innovators Academy.
Guiding Principles
-
Assume positive intent from families
-
Never use guilt-based or authoritative language
-
Focus on the childâs comfort and continuity of care
-
Offer solutions, not pressure
-
Communicate calmly, clearly, and respectfully
Step 1: Identify the Need
-
Verify that the childâs diaper supply is fully depleted by checking:
-
The childâs labeled diaper storage area
-
Any backup classroom storage
-
-
Confirm that no additional diapers are available before contacting the parent.
âď¸Â Important: The childâs comfort and hygiene remain the priority at all times.
Step 2: Prepare for the Call
Before calling:
-
Review the childâs name and classroom
-
Confirm the parentâs preferred contact method
-
Be ready to explain the solution clearly and calmly
Tone reminder:
This is a courtesy call, not a reprimand.
Step 3: Make the Call (Live Conversation)
Recommended Script (Warm & Supportive)
âHi [Parentâs Name], this is [Your Name] from [Classroom/Office] at Young Innovators Academy. I wanted to let you know that [Childâs Name] has used their last diaper today. Weâre all set for now, but weâll need a fresh supply brought in.â
Then clearly offer the solution:
âIf it helps, we do have school diapers available that we can use and simply add to your account for the convenience. Just let us know what works best for you.â
âď¸ Reassure the parent:
-
The child is comfortable
-
The situation is under control
-
There is no urgency or blame implied
â Avoid statements like:
-
âYou forgot to bring diapers.â
-
âWe really need parents to be more responsible.â
-
âThis keeps happening.â
Step 4: If the Call Is Not Answered
Voicemail Script
âHi [Parentâs Name], this is [Your Name] from (School). Iâm calling to let you know that [Childâs Name] has used their last diaper today. Weâre all set for now, and we do have school diapers available if needed, which can be added to your account. Please give us a call back or send a message when you have a moment. Thank you!â
Backup Communication
-
Log the note in the parent engagement app
-
Send a brief follow-up message (text or app notification) with the same supportive tone
Step 5: Use of School Diapers
-
School diapers may be used only to ensure the childâs comfort
-
Parents must be informed that:
-
Diapers are available for convenience
-
Charges will be added to their account
-
-
Never frame the charge as a penalty or inconvenience
âď¸ Language to use:
âFor convenience, we can use school diapers and add them to your account.â
Step 6: Documentation
Record the communication in the parent engagement system, including:
-
Date and time of contact
-
Method (call, voicemail, message)
-
Parent response (if any)
-
Whether school diapers were used
Documentation is for clarity and continuity, not discipline.
