To ensure that all families enrolled align with the core values, culture, and expectations of Young Innovators Academy—thereby supporting a thriving school community, reducing staff burnout, and increasing satisfaction and retention.

Background

After several challenging enrollments, including the story of the unresponsive mother with twin toddlers, we learned that enrolling families who do not align with our values creates disruption, staff burnout, and reputational damage. This SOP formalizes the process of evaluating parent fit during tours and inquiries.

Policy Statement

Enrollment decisions must prioritize alignment over availability. Directors and staff must use consistent tools and questions to evaluate prospective families before extending enrollment offers.

Ideal Parent Avatar Profile

Our ideal parent is:

  • Respectful: Treats educators as professionals and adheres to school policies

  • Responsive: Communicates promptly and collaborates when challenges arise

  • Engaged: Participates in school life, conferences, and their child’s development

  • Growth-Oriented: Values both academic readiness and social-emotional learning

  • Committed: Views enrollment as a long-term educational partnership

Action: If multiple red flags are noted, pause the enrollment and schedule a follow-up conversation before proceeding.

Step 2: Ask Open-Ended Questions

Incorporate these during every tour or inquiry:

  • “What kind of learning environment are you hoping to find?”

  • “How do you typically handle behavior challenges at home?”

  • “What role do you want to play in your child’s learning journey?”

  • “What’s most important to you in a school?”

Action: Listen for alignment. Misalignment is not just inconvenient — it can be disruptive to your entire school community.

Step 3: Director Reflection & Fit Evaluation

Immediately after the tour, directors must complete a brief reflection form:

  • Did the parent demonstrate respect and engagement?

  • Did they acknowledge and redirect their child’s behavior?

  • Did their values and goals align with our program?

  • Would this family strengthen or strain our classroom culture?

Action: If unsure, consult with a supervisor before offering a spot.

Step 4: When Not to Enroll

Politely delay enrollment if:

  • The parent resists policies or redirects accountability

  • The child demonstrates concerning behavior with no parental support

  • There’s clear disengagement or disrespect

“Thank you for visiting. At this time, we are prioritizing families that are closely aligned with our educational approach and expectations. We’d love to stay in touch and revisit enrollment at a later time if things shift.”

  • All new directors must complete “Enrollment Fit Training” during onboarding

  • All staff conducting tours must complete an annual refresher on parent avatar, red flag awareness, and using the checklist tools

  • Conduct post-enrollment reviews for any challenging enrollments
