General Supervision Procedures

1. Purpose

To ensure the continuous, active, and appropriate supervision of all children in care at all times, in compliance with childcare licensing regulations and safety standards.

2. Scope

This SOP applies to all child care personnel, including directors, administrators, teachers, assistants, substitutes, and approved volunteers, during all program activities on-site and off-site.

3. Definitions

• Direct Supervision: Continuous visual and auditory monitoring of children by assigned child care personnel.

• Authorized Individual: A person designated in writing by the custodial parent or legal guardian to pick up or receive a child.

• Child Care Personnel: Any employee or approved volunteer responsible for child supervision.

4. General Supervision Procedures

4.1 Positioning and Visibility

1. Child care personnel must position themselves so that all children are visible at all times, especially during:

   • Outdoor play

   • Transitions

   • Group activities

2. Personnel must move as needed to eliminate blind spots and ensure full coverage of the play or activity area.

3. Lighting must be sufficient at all times to allow staff to clearly see and supervise children.

4.2 Group Assignment and Accountability

1. Each staff member must be assigned to a specific group of children.

2. Assigned staff must remain with their group at all times.

3. Children must never be left unattended:

   • Inside or outside the facility

   • In vehicles

   • During field trips

   • During arrival or dismissal

4. Staff must conduct regular headcounts, especially:

   • During transitions

   • Before and after outdoor play

   • During transportation

   • Upon arrival at and departure from off-site locations

4.3 Supervision Away from the Facility

1. Supervision standards apply during:

   • Field trips

   • Outdoor activities

   • Transportation

   • Pick-up and drop-off at designated locations (e.g., bus stops, schools, homes)

2. For school-age children:

   • Staff must know where each child is and what they are doing at all times.

   • Staff must be able to respond immediately to emergencies, even if children are temporarily separated from the group.
